Terms and Conditions for members 

1. Payment and cancellation policy 

1.1 When you sign up as a supporter member or to subscribe to a vegetable, fruit or egg share, we will ask you to set up a direct debit. 

1.2 You will be subscribed to a monthly payment plan. Monies will be taken from your account on the 26th of the month previous, for example payment for June will be taken on 26th May. If you want to subscribe before the beginning of the month an additional part payment will be taken. For example: if you want to start receiving produce on 16th May 2019 a 3 week payment will be calculated for the remainder of the month and taken before your June payment.

1.3 We will contact you to tell you when your first vegetable share will be available and how much your first and subsequent payments will be. Shares will normally be available from the week after the week in which you contact us to join. 

1.4 If you decide FarmShare isn’t for you, you must notify us in writing (email is fine). Where we receive written notice within 28 days of joining, we will cancel your subscription and won’t take further payment. 

1.5 Direct debit payments are taken on the 26th of the month (or the next working day where the 26th falls on a weekend or bank holiday). We will inform you by email in advance of any change to the date or amount of your payments (for example if you change your subscription). 

1.6 After the initial 28-day period, you must let us know by the 10th of the month if you want to cancel from the following month. For example, if you cancel on 9th May no further payments will be taken and your shares will continue to be provided until end of May; if you cancel on 11th May, one further payment (for June) will be taken on 26th May and your shares will continue to be provided until the end of June. 

1.7 If you wish to amend your subscription, you may do so in writing to info@norwichfarmshare.co.uk. Changes can take up to 14 days to process, though we will aim to process them sooner. 

1.8 You may suspend your subscription for a minimum period of one month. To do so, please email info@norwichfarmshare.co.uk, giving a minimum of 14 days’ notice. 

1.9 We may change our prices from time to time. We will give all members at least one month’s notice by email of any proposed price changes. 

2. Produce and growing methods 

2.1 We promote sustainable land use through ecologically sensitive methods which involve no artificial fertilisers, herbicides or pesticides, and minimal disruption to ecosystems. We are not certified as organic due to the high cost of the accreditation process. Our eggs are not currently organic but are free range and local. 

2.2 Vegetables come in all shapes and sizes, and their appearance depends on the conditions they were grown in. We seek to provide members with high quality, nutritious produce. We do not throw away produce based on its appearance, so the shape and size of the produce you receive will vary, and some may have marks and imperfections. 

 

2.3 We aim to grow the majority of our produce ourselves. However, we supplement this with produce from other local farms which use agroecological methods. This enables us to provide you with a wider variety of produce and support a thriving network of local producers. 

3. Collection, substitutions, refunds and complaints, and deliveries

3.1 During the Covid-19 pandemic we encourage our members to have their produce delivered, you can request cycle delivery within postcodes NR1-NR7 at an additional cost of £14 per month (NR1-NR3) or £20 per month (NR4-NR7). Alternatively produce can be collected from our locker at Wensum Sports Centre hub (‘the hub’) from Thursday afternoon. Please note some produce be be delivered by motor vehicle during the pandemic. 

3.2 If you would like your produce to be put in the locker as a one-off, please text or call the hub phone (07546 055584) before 6pm on the day. Please be aware that this service is provided by volunteers at no additional cost to you. Norwich FarmShare cannot be held responsible for produce once it is placed in the locker. However, in the event that your share is missing or incomplete, please email info@norwichfarmshare.co.uk and we will consider compensation on a case-by-case basis. 

3.3 Occasionally, we run low on a particular item during the hub collection period, for example if another supplier has been unable to deliver the quantity requested. In such instances, we reserve the right to substitute with another vegetable of equivalent value, either the same day or at the following week’s hub. 

3.4 We cannot issue refunds for produce which is uncollected for any reason. 

3.5 If you miss a payment, we will endeavour to contact you. If we have not heard from you within 14 days, we will consider your subscription cancelled with effect from the following month, and will seek to recover the missed payment from you. We reserve the right to permanently revoke membership where payments are repeatedly missed. 

3.6 We encourage you to give your produce to family or friends if you are away for a week or two, to enable them to try out FarmShare for themselves. If you know no one will be able to collect your veg, it is helpful if you can let us know. 

3.7 Please wash all your fruit and vegetables before use. All our produce is grown without pesticides or herbicides, but should still be washed to remove any dirt and undesirable bacteria. We cannot be held liable for any adverse health effects caused by eating unwashed produce. 

3.8 Any complaints should be made to info@norwichfarmshare.co.uk, a response should be received by the following Monday or Wednesday. If complaints are made on social media it is likely you will be referred to make your complaint to the info@norwichfarmshare.co.uk address so the correct team members can handle the situation.

3.9 Our cycle delivery service is provided by Zedify. If you receive your produce cycle delivery please insure you are at home to take delivery of the produce between 4.30 – 7.00pm each Thursday. 

If you are not at home we will leave your produce for you. Please inform us of a safe place such as shed or porch. If your produce must be left outside we advise you provide a rain free area such as storage box with lid. Your produce is likely to be packaged in paper.  

If you require a one-off cycle delivery please contact info@norwichfarmshare.co.uk with 14 days notice. You will be asked to pay a one-off fee. Payment must be received a minimum of 5 days prior to the delivery date so we can instruct Zedify to make the delivery. 

4. Our legal structure 

4.1 Norwich FarmShare is a Community Benefit Society. 

4.2 Your membership of Norwich FarmShare is bought with the first £1 of your first payment – this buys you one share in the organisation and one vote at General Meetings. Membership shares are non-transferable and non-withdrawable. Please bring your membership card to General Meetings to be sure of being able to vote. Membership cards can be collected from the hub. 

 

4.3 If you cease to be a paying member of Norwich FarmShare, your membership of the community benefit society will cease. Your £1 share capital will be cancelled and transferred to the general reserves of the society.

5. Data protection and our communication with you 

5.1 By signing up as a member of Norwich FarmShare, you give us permission to store data relating to your membership: specifically your name, address, phone number and email address, payment details, details of your type of subscription and how long you have been a member, and any notes required for convenient collection or delivery of your produce. We do not sell your data or share it outside the organisation, and we will use it only for purposes directly connected to your membership, in accordance with the Data Protection Act 2018. 

5.2 You should inform us of any changes to your contact details or bank details to ensure your supply of produce is not interrupted. 

5.3 We also have a mailing list to which you can subscribe whether or not you are a member. You can unsubscribe at any time by clicking on the ‘unsubscribe’ link at the bottom of each email. By completing our Sign Up form you give us permission to add you to our email database.

5.4 If you terminate your membership, we will remove your contact details from our members’ database. You will remain on our mailing list and we will continue to store your name and email address for this purpose unless you unsubscribe. 

5.5 Our default method of communication with our members is email. We will use this to inform members of General Meetings, price changes and other key information. We also endeavour to provide important information at the hub and on social media where appropriate.
