Data Processing Policy

For all veg-subscribing and supporter members, we keep your contact details in order to inform you of our general meetings and annual general meeting, where members make decisions and elect the board of directors. We also keep records of your subscription payments and order details. This data is stored on a password protected online spreadsheet. 

When you sign up, your email address will be automatically added to our online marketing platform, which is again password protected. Access to both these databases is restricted to core members of the management and admin team on a ‘need to know’ basis. We do not share this information with any external organisations.

For those who have made temporary changes to a standing order, such as refunds, we will also have your bank details stored on our records and statements for the year. These are stored securely within our member database. For our cycle delivery option members, we have your address printed each week, and then shredded.

Unless we hear from you otherwise, if you cease to be a member (supporter member or veg-subscribing member) we will remove your data from our membership spreadsheet at the end of the calendar year.  We won't however remove the details of former members from our email list - but you can easily unsubscribe from this list anytime using the link at the bottom of every email. 

If you are not a member, we only hold the information you gave us when you signed up to our mailing list - your name and email address plus any mailing preferences. This is stored securely on our online marketing platform and is not used for any purpose other than sending emails about our work and related events. As above, you can unsubscribe from this list anytime. 

You have the right to request to see the data we hold for you at any time, or to ask for it to be deleted.
